Introduction

If there is a need to upload students' data for an exam, it should be done in two steps:

  1. Uploading the student to the general participants' table.
  2. Assigning the student to a specific exam.


*In a "demo" type of exam, students are loaded directly from the participants' table  (step 1 above), and there is no need to assign them to the exam.

Uploading Participants

Manual addition of an individual student

Steps for adding a student:


1. Click on the "More" menu

2. Click on "Show the list of all participants."

3. Click on "Add New Participants."

4. Enter the participant's details.

5. Click on "Save."



Uploading Participants from a File

You can upload multiple participants at once using the following method:


First Step: Downloading the Template File


1. Click on the "More" menu

2. Click on "Show the list of all participants."

3. Click on "Download Template."

The file will be downloaded to your computer with the name "participants-template.csv".


Second Step: Entering Participant Data

Open the file using a program like Excel. 

Fill in the fields according to the following instructions, paying attention to any specific guidelines:

Third Step: Uploading the File to the System


1. In the participants' list window, click on "Import participants from File."

2. Click on "Select File" and select the file you saved.

3. Then, click on "View Uploaded Participants ." The window will show the students that have been loaded.

4. If everything appears to be correct, click on "Save" to finalize the upload.


Assigning Participants to an Exam

Manual assignment of a participant

Note: Assignment can only be done if the participant already exists in the participants table (refer to the previous section).


Steps for assignment:


1. Mark the relevant exam (click on the padlock icon) in Tomasafe.

2. Click on the "Activity" menu

3. Click on "Manage Participants."

4. Click on "Add Participants". 

5. Search for the participant in the search box (by name, username, or ID).

6. Click on the "Plus" button

7. Click on "Add."

8. Click "Save"


Assigning Participants from a File

First Step: Downloading the Template File

1. Mark the relevant exam (click on the padlock icon) in Tomasafe.

2. Click on the "Activity" menu

3. Click on "Manage Participants."

4.  Click on the "Download Template" icon 


The file will be downloaded to your computer with the name "exam-participants-template".csv

5. Fill in the "ExamID" field with the relevant exam identifier and the "UserName" field with the corresponding participant identifier.

Enter the course number in the "CourseID" field. 

The "ClassName" field with the class name, if not relevant it can be left blank.

6. In the "Exam Participants" window, click on "Import Participants from File


Select the file you saved and click on "Import" and then confirm.
